 MAJUBA TVET College would like to invite suitably qualified, innovative, result orientated and self – driven candidates to apply for the following fixed term contract positions: 

SENIOR ADMINISTRATION CLERK – CREDITORS 

SALARY LEVEL 5 

REFERENCE NO. SACCRED 01022020 

NO OF POSTS: 03 

Minimum requirements: Grade 12/Matric or equivalent with accounting or equivalent qualification with at least 2 years of relevant experience in business finance OR a 3 year recognised Diploma/ Equivalent qualification in the finance field and at least one year of relevant experience. Computer Literacy in MS WORD/ Excel/ E-mail/ Internet. 

Recommendations: Experience in creditors control will be an added advantage Knowledge and experience in Pastel Accounting. Excellent verbal and written communication skills. Good interpersonal skills and the ability to work under pressure. Experience in FET College administration/ finance. 

Duties: Manage all areas of administration and finance in respect of Creditors Control including verification of all documentation, matching, processing payments to suppliers, reconciliation of creditor statements, budget control, cash flow control and cost control.

SENIOR ADMINISTRATION CLERK – SUPPLY CHAIN MANAGEMENT 

SALARY LEVEL 5

Minimum requirements: Grade 12/ Matric or equivalent with Accounting and at least two years relevant experience in government related procurement (tender quotations, purchase orders, open tender processes, supplier performance management, etc.) OR a 3 year recognised Diploma/ Equivalent qualification in the fields of Business Management, Finance, Supply Chain Management and at least one year of relevant experience. Computer literate (Microsoft Word, Excel, Outlook, Internet). 

Recommendations: Knowledge in Government policies and procedures in Supply chain Management together with knowledge and experience in TVET procurement systems and/or operations will be an added advantage. Working experience on Pastel. Excellent verbal and written communication skills. Good interpersonal skills and the ability to work under pressure. 

Duties: All areas of procurement administration and functions pertaining to pre and post tender/quotation awards. Supplier performance and monitoring. Preparation of administrative documents for internal and external meetings pertaining to SCM processes. SCM verification of processes followed according to National Treasury regulations and guidelines. Issuing, expediting and cancellation of orders. Maintenance of the College’s Supplier Database. Verification and capturing of SCM and financial documentation onto the College’s Financial Management System. Manage all areas of administration in respect of the College’s Supply chain management policy and procedures. Carry out administrative duties and other tasks as requested by the SAO_SCM.

SENIOR ADMINISTRATION CLERK – FLEET 

SALARY LEVEL 5

Minimum requirements: Grade 12/ Matric or equivalent with Accounting and at least two years of relevant experience OR a 3 year recognised Diploma in Financial Management/ Equivalent qualification and at least one year of relevant experience. Computer literate (Microsoft Word, Excel, Outlook, Internet). 

Recommendations: Knowledge and experience in TVET systems and/or operations will be an added advantage. Excellent verbal and written communication skills. Good interpersonal skills and the ability to work under pressure. 

Duties: Plan and organise the maintenance of all vehicles, ensuring that service and inspection intervals are adhered to; Booking of vehicles for major and minor services; Drawing of Cartrack reports on a daily basis. Controlling of all irregularities on Cartrack system; Reconciling all the kilometres travelled against the Cartrack System; Monthly reconciling of petrol, toll and maintenance charges against ABSA Fleet Statement; Record Keeping and fleet inspections on a daily basis;Issuing of logbooks; Fleet cards and vehicle keys; Replace fuel cards in the event of loss, theft and renewal according to bank/transport policies/procedures; 

Safekeeping of all vehicle logbooks/keys/spare keys. Booking of vehicles for staff going to Meeting, Campuses and College Business trips; Planning and controlling the vehicle usage; Ensuring that all vehicle logbooks are filled and controlled; 

Ensure validity of Driver’s Licence for all drivers of Majuba vehicles; ensure that trip authorizations are completed for each trip prior to releasing of College vehicles. Ensure quality cleaning of all vehicles; Ensure effective inspection and maintenance of vehicles are carried out according to maintenance plan; Assisting and reporting on Audits and Audit queries.

SENIOR ADMINISTRATION CLERK – CONTRACTS (ADMINISTRATION) 

SALARY LEVEL 5

Minimum requirements: Grade 12/ Matric or equivalent and at least two years of relevant experience OR a 3 year recognised Diploma/ Equivalent qualification in the Business Management/ related field and at least one year of relevant experience. Computer literate (Microsoft Word, Excel, Outlook, Internet).

Good interpersonal skills and the ability to work under pressure. Must have good administrative, analytical, planning and organizational skills. 

Duties: Contract administration – administer contracts for appointed service providers, ensure contract review, approval and execution in accordance with guidelines. Prepare and administer routine correspondence and contract documentation to ensure timely and coordinated submittal. Verify contract service delivery and payments. Maintain an audit file for each service provider (contract), all correspondence, changes/ deviations, amendments, clarifications and payment schedules. Analyse contract requirements, special provisions, terms and conditions to ensure compliance with appropriate laws, regulations, policies and unit procedures. Monitor contractor performance, including reporting status of contractor deliverables. Liaise with internal and external stakeholders and suppliers, attend queries and address issues raised. Information management and record keeping. Management of stadium bookings.

SENIOR ADMINISTRATION CLERK – CONTRACTS (FINANCE) 

SALARY LEVEL 5

Minimum requirements: Grade 12/ Matric or equivalent with Accounting and at least two years of relevant finance experience OR a 3 year recognised Diploma in Financial Management/ Equivalent qualification and at least one year of relevant experience. Computer literate (Microsoft Word, Excel, Outlook, Internet). 

Recommendations: Knowledge and experience in TVET systems and/or operations will be an added advantage. Excellent verbal and written communication skills. Good interpersonal skills and the ability to work under pressure. Must have good administrative, analytical, planning and organizational skills. 

Duties: Manage all areas of administration and finance in respect of contracts and petty cash, including verification of all documentation, matching, processing, payments to suppliers, reconciliation of contract accounts, attending to supplier queries and good telephone etiquette.
